Quotation
After reviewing the details provided in the registration form, we will prepare a competitively priced quotation for your review. We will reach out to you to discuss the scope of certification, locations, and other relevant details.
Assessment & Reservation
Upon receiving the acceptance letter and payment for certification, we will schedule mutually agreed-upon dates for the assessments.
- Manual Assessment:
This involves a desk-based review of your manual, procedures, and relevant documents. To ensure a thorough evaluation, please submit these documents to us typically 4 weeks before the scheduled certification assessment.
- Onsite Assessment:
This assessment involves evaluating the implementation of your management system and supporting programs. It is conducted to verify the company’s preparedness for certification.
This is a certification assessment performed in accordance with the relevant standard. It is typically conducted within four weeks after the Stage 1 assessment, based on the findings from the Stage 1 audit. If the Stage 2 audit is not completed within 6 months, the Stage 1 audit will need to be repeated.
Approval
Upon successful completion of the certification assessment and any necessary corrective actions, the certificate of award will be issued.
Continuing Assessment
The certificate remains valid for 3 years, provided that the management system is maintained satisfactorily. Your management system will be monitored regularly to ensure it continues to meet the requirements of the relevant standard.
Certificate Renewal
After reviewing the details provided in the registration form, we will prepare a competitively priced quotation for your review. We will reach out to you to discuss the scope of certification, locations, and other relevant details.
Changes to certification
During the validity of certification, any changes to the scope of certification, including expansion or reduction of scope, addition or deletion of sites, and transfers, will be based on the assessment conclusions. These changes will be reflected in the issued certification and related documentation as agreed
Suspension and withdrawals
Non-compliance with certification regulations, such as failing to meet audit timelines, not submitting compliance actions within the stipulated period, misuse of the logo and certificate, or significant failures in systems, can result in suspension or withdrawal of certification according to the governing rules of GIQCIS.
Timeline for certificate suspension and withdrawals
Suspension will occur after the due date (anniversary date of the certification decision in the year). Withdrawal will take place 6 months after the due date.
Suspension will occur 3 months after the due date (anniversary date of the certification decision in the year). Withdrawal will take place 3 months after the suspension.

Suspension will occur 1 year plus 3 months (15 months) from the Corrective Action Onsite Date. Withdrawal will take place 3 months after the suspension.

Complaints, Appeals, and Disputes Process

- Handling of Non-Conformities
- All complaints, appeals, and disputes must be registered in writing upon receipt. The staff member who receives the complaint is required to immediately inform the Head of Certification at GIQCIS.
- Commercial complaints will be addressed by the Head of Certification. For technical complaints, the Operations Committee will be consulted.
- Decisions and further actions regarding the complaints will be communicated to the complainant in writing. If an agreement cannot be reached, the matter will be escalated to the Certification Committee. All complaints will be documented in the Complaints File.
- The procedure for handling appeals, complaints, and disputes, including the rights related to the use of the GIQCIS certification mark, will be outlined in the certification contract.
- Clients will be informed in writing upon receipt of their appeal, complaint, or dispute. The Certification Committee or the Operations Committee will be notified, and the outcome will be communicated by the Office Coordinator to the concerned party.
- As part of the audit process, auditors will complete an Assessment Activity Survey report. This report will be reviewed by the Certification Committee in conjunction with audit documents and any appeals, complaints, or disputes. The Certification Committee will forward relevant matters to the concerned department for further action.
- When corrective action is required to prevent recurrence of issues, the Head of Certification will specify the necessary corrective actions, identify the responsible individuals, and set a completion deadline.
- Any non-conformity detected in GIQCIS or its certified clients by any party, including interested parties, must be reported to the Office Coordinator, Management Representative (MR), Head of Certification, or Administrator.
- The non-conformity will be recorded in the Non-Conformity File, and appropriate corrective actions will be assigned. These actions will be reviewed by the Operations Committee and the Certification Committee for preventive measures.
